Terms & Conditions
Please read these Terms and Conditions carefully before booking with Eco Nepal Trekkers.
This is a legally binding agreement between Eco Nepal Trekkers (“we”, “our”, “the company”) and the guest (“you”, “the client”).
By confirming your booking, you acknowledge that you have read, understood, and agreed to these Terms and Conditions.
Booking and Payment Terms
- To confirm your trip, you must complete our booking form and pay a deposit.
- Trekking and Tours – Deposit of 10% of the total trip cost (non-refundable).
- Peak Climbing and Expeditions – Deposit of 30% of the total trip cost (non-refundable).
- The remaining balance must be paid upon arrival in Kathmandu before trip departure, unless agreed otherwise in writing.
- Payments can be made in your local currency at the official Nepal Rastra Bank exchange rate on the date of payment.
- Credit/debit card payments incur a 4% processing fee.
- All bank transfer fees are the responsibility of the client.
- We reserve the right to adjust trip prices in case of significant currency fluctuations, government tax changes, or supplier cost increases before the departure date.
Cancellation Policy
If you need to cancel your trip, you must inform us in writing (by email). Refund amounts depend on the notice period:
- 40 days or more before departure – 90% refund of the total trip cost (10% cancellation fee applies).
- 28–39 days before departure – 80% refund of the total trip cost (20% cancellation fee applies).
- 7–27 days before departure – 50% refund of the total trip cost (50% cancellation fee applies).
- Less than 7 days before departure – no refund.
Important:
- All deposits are strictly non-refundable.
- Refunds will be processed within 15 working days, excluding bank processing time.
- Any bank or payment gateway charges will be deducted from the refund.
Early Return / Incomplete Trip
If you choose to leave the trip early, or if you are evacuated for medical or personal reasons, no refund will be provided for unused services (accommodation, meals, permits, transport, etc.).
Any additional costs for early return will be your responsibility.
Rescheduling and Transfer
- Requests to reschedule your trip or transfer your booking to another person must be made at least 20 days before departure in writing.
- Rescheduling/transfer fee: USD 200 per person for Trekking & Tours, USD 500 per person for Peak Climbing & Expeditions.
- Any price difference between the original trip and the new trip must be paid by the client.
- If transferring to another person, you are responsible for finding the replacement participant.
Delay Policy
We are not responsible for delays, changes, or cancellations caused by events beyond our control, including but not limited to:
- Political unrest, strikes, government restrictions
- Natural disasters (earthquakes, landslides, floods, avalanches, severe storms)
- Flight delays or cancellations
- Pandemics or epidemics
- Sudden illness or injury of the client
- Infrastructure failures (road closures, transport breakdowns)
- Any extra costs from such events (accommodation, meals, transport, alternative flights) will be the client’s responsibility.
Risk Acknowledgment and Liability
- Trekking, climbing, and expeditions in the Himalayas involve inherent risks, including injury, illness, or death.
- By booking, you confirm that you understand and accept these risks.
- You agree to follow all safety instructions from our guides and staff.
- Eco Nepal Trekkers will not be liable for any loss, damage, injury, illness, or death unless caused by our proven negligence.
Medical and Fitness Requirements
- You must be physically and mentally fit for your chosen trip.
- You must disclose any pre-existing medical conditions at the time of booking.
- We recommend a medical check-up before traveling to high-altitude areas.
- Pre-trip fitness training is advised to reduce the risk of altitude sickness.
Travel Insurance
Travel insurance is mandatory for all trips.
Your policy must cover:
- Emergency medical treatment
- Helicopter rescue and evacuation
- Trip cancellation or interruption
- Loss or theft of personal belongings
- Proof of insurance must be provided before departure.
- We are not responsible for costs not covered by your insurance.
Flights and Helicopter Costs
- Mountain weather can cause delays or cancellations, especially on flights to/from remote areas.
- Clients are responsible for extra costs due to delays (accommodation, meals, alternative transport).
- In case of flight cancellations, helicopters may be arranged (approx. USD 550 per person, one-way, shared basis). This is in addition to any pre-booked flights and will be at the client’s expense unless covered by insurance.
Porter Weight Limit
Porters can carry a maximum of 20 kg per client. Please pack responsibly to ensure their health and safety.
Visas and Permits
- Your passport must be valid for at least 6 months after your return date.
- Nepal visas can be obtained on arrival at Tribhuvan International Airport or online before travel.
- We will arrange trekking and climbing permits.
- A copy of your passport and two passport-sized photos must be sent to us at least 2 weeks before departure.
Conduct and Behavior
- You must respect local culture, customs, and the environment.
- Unacceptable behavior includes illegal acts, harassment, property damage, or actions that endanger yourself or others.
- We reserve the right to remove any client engaging in unacceptable behavior from the trip immediately, without refund.
- Any costs resulting from such removal will be your responsibility.
Children Policy
While trekking with kids, we recommend you to inform about it in advance. Normally, it’s difficult for children below 8 years to complete some treks.
Publicity
- We may use photographs or videos taken during the trip for marketing purposes without further consent or compensation.
- You allow us to use the photographs or videos taken during the trip for our websites and social media handles.
- If you do not wish to be included, please inform us in writing before departure.
Privacy
Your personal data will only be used for trip arrangements and will not be shared with third parties except as required by law or for permit processing.
Complaints
- If you have any concerns during your trip, you must inform your guide or our office immediately so we can address the issue.
- Complaints made after the trip without prior notice may be harder to resolve.
Governing Law
- These Terms and Conditions are governed by the laws of Nepal.
- Any disputes will be resolved exclusively in the courts of Kathmandu, Nepal.
